Job Title: Executive Administrative Assistant
Heitmeyer Consulting is currently seeking an Executive Administrative Assistant to support a senior level executive for one of our financial services clients in downtown Columbus, OH. This position is onsite five days a week. The ideal candidate will have extensive experience managing complex and fast-paced calendars, strong organizational skills, and the ability to prioritize tasks effectively. This individual will have a vested interest in learning the business, as the individual will be expected to make informed decisions on meeting attendees and delegate responsibilities accordingly. In this position, you will play a key role in the success of the executive’s day-to-day operations, ensuring smooth coordination and communication across teams, managing key meetings, and preparing essential business materials. A high level of proficiency in Microsoft Office, particularly PowerPoint and Excel, is essential, as you will be responsible for preparing presentations, reports, and data-driven documents.
Duties and Responsibilities:
- Manage and prioritize the executive’s calendar, ensuring alignment with business goals and priorities. Proactively schedule meetings and appointments, while managing overlapping demands and changing schedules.
- Identify the key stakeholders for specific meetings, committee meetings, and presentations. Ensure the right representatives from the organization are included and well-prepared.
- Develop a strong understanding of the business, including key priorities, objectives, and strategies. Use this knowledge to prioritize meetings and activities that align with the organization’s goals.
- Prepare high-quality presentations in Microsoft PowerPoint, ensuring that information is clear, concise, and visually appealing.
- Utilize Microsoft Excel to organize data, generate reports, and extract key insights. Export Excel files into Adobe PDF format and then incorporate them into PowerPoint presentations as needed.
- Serve as the primary point of contact between the executive and other departments, clients, and external partners. Ensure timely communication and flow of information.
Required Skills:
- Minimum of 5 years of experience supporting senior executives, particularly in high-pressure, fast-paced environments.
- Strong proficiency in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook).
- Demonstrated expertise in creating polished, professional PowerPoint presentations, including integrating Excel data into presentations.
- Strong organizational skills with the ability to manage multiple tasks simultaneously and adjust priorities as needed.
- High attention to detail and accuracy.
- A strong interest in understanding business operations and the ability to prioritize meetings based on strategic objectives.
- Excellent verbal and written communication skills.
