Position Summary
Heitmeyer is supporting a banking partner who is seeking a Loan Servicing Representative. This position is responsible for supporting the servicing and maintenance of consumer and residential loans after closing. This role handles loan record updates, collateral tracking, insurance monitoring, payment processing, loan payoffs, and customer service inquiries. The ideal candidate is highly organized, detail-oriented, and comfortable working with loan documentation, servicing systems, and customers.
Required Qualifications
- High school diploma or GED
- Minimum of 1 year of banking, loan servicing, loan operations, lending support, or related experience
- Strong data entry and administrative processing skills
- Working knowledge of Microsoft Word, Excel, and PC applications
- Strong attention to detail and documentation accuracy
- Good organizational and time management skills
- Strong verbal and written communication skills
- Ability to maintain confidentiality of customer information
- Ability to work in a fast-paced, deadline-driven environment
Preferred Qualifications
- Consumer loan servicing experience
- Residential mortgage servicing experience
- Loan operations or loan administration experience
- Experience working with core banking or loan servicing systems
- Knowledge of loan collateral documentation
- Experience with insurance tracking and loan maintenance functions
- Familiarity with credit bureau disputes and loan payoff processing
- Understanding of banking compliance and lending regulations
Key Responsibilities
Loan Servicing & Maintenance
- Update loan records within the core servicing system
- Process approved loan changes and maintenance requests
- Upload and verify loan account information
- Complete quality reviews of servicing transactions entered by other team members
- Process loan payments and non-post transactions
- Support line of credit advances and related servicing activities
Documentation & Collateral Management
- Review loan files for completeness and accuracy
- Track outstanding documentation and clear exceptions
- File and manage collateral documents
- Prepare mortgage satisfaction documents and coordinate recording
- Research collateral records and payoff information
- Prepare loan files for scanning and electronic storage
- Perform quality control reviews of scanned documents
Insurance & Loan Tracking
- Monitor insurance coverage requirements
- Upload and verify insurance policies
- Track mortgages, vehicle titles, and other required collateral documentation
- Review ticklers for rate changes and UCC renewals
- Follow up on pending files and outstanding documentation requirements
Customer Service & Support
- Respond to customer inquiries by phone and in writing
- Provide loan payoff quotes
- Assist borrowers with servicing-related questions
- Research and resolve credit bureau disputes
- Partner with branch personnel and lending teams to resolve issues promptly
- Coordinate activities with multiple departments to support efficient operations
Compliance & Risk Management
- Maintain compliance with bank policies and regulatory requirements
- Protect confidential customer and loan information
- Support fraud prevention and risk mitigation efforts
- Complete required compliance and regulatory training
- Follow established servicing and documentation procedures
