Position Summary

Heitmeyer Consulting is supporting a banking partner who is looking for a Customer Information Specialist who is responsible for maintaining customer and deposit account records within the bank’s core system. This role supports account setup, account maintenance, documentation review, customer information updates, compliance monitoring, and operational support related to deposit accounts. The ideal candidate has strong attention to detail, knowledge of deposit account documentation, and experience working within banking operations. 

Required Qualifications

• High school diploma or GED
• Minimum of 3 years of banking operations, deposit operations, account maintenance, or related experience
• Experience working with deposit account documentation and maintenance
• Knowledge of account ownership, titling standards, and account opening processes
• Strong attention to detail and accuracy
• Strong organizational and time management skills
• Proficiency with Microsoft Office applications, including Excel
• Effective verbal and written communication skills
• Ability to maintain confidential customer information

Preferred Qualifications

• Deposit Operations experience
• Customer Information File (CIF) maintenance experience
• Experience working with core banking platforms
• Online account opening experience
• Knowledge of Customer Identification Program (CIP) requirements
• Experience supporting deposit account compliance and documentation reviews
• Familiarity with banking regulations, Red Flags, and fraud prevention requirements
• Experience developing procedures, forms, or process improvements 

Key Responsibilities

Customer Information & Account Maintenance

• Establish and maintain customer information records within the bank’s core system
• Process account setup, updates, and maintenance for deposit accounts
• Verify account ownership, titling, coding, and documentation accuracy
• Support savings, checking, certificates of deposit, and related account types
• Research and resolve customer record discrepancies
• Process return mail maintenance and customer information updates

Deposit Documentation & Operations

• Review deposit account documents for completeness and compliance
• Maintain customer and account records in accordance with bank procedures
• Support online account opening processes and applications
• Prepare, scan, index, and maintain electronic account documentation
• Assist with decedent account processing and special account maintenance requests
• Prepare reports and operational documentation as needed

Compliance & Risk Management

• Ensure customer records comply with CIP requirements and bank policies
• Support identity verification and fraud prevention activities
• Monitor documentation standards and regulatory requirements
• Maintain secure handling of customer information
• Complete required compliance and regulatory training
• Adhere to all risk management and operational control procedures 

Customer Service & Internal Support

• Serve as a resource for branches and internal teams regarding deposit account maintenance
• Respond to questions related to account setup, documentation, and customer records
• Support cross-functional teams with account research and issue resolution
• Assist with training initiatives and procedural updates
• Recommend process improvements to enhance efficiency and service delivery 

Process Improvement & Administration

• Maintain and update account maintenance procedures and documentation
• Assist with forms management and process improvement initiatives
• Support department reporting and operational projects
• Contribute ideas that improve efficiency, accuracy, and customer service
• Maintain current knowledge of banking regulations and operational practices
